The client is one of the world’s largest and oldest governing bodies in world sport, responsible for overseeing all aspects of the nation’s favourite sport from grassroots to professional level. The organization manages thousands of affiliated clubs, administers major competitions, regulates standards, oversees the national team, and balances tradition with digital modernization across its operations.
Challenge
The client struggled with major inefficiencies across their national ecosystem—managing clubs, teams, referees, players, fans, and guests through fragmented, paper-heavy workflows. Registration processes were cumbersome, user frustration was rising, and participation was declining. The system consisted of 14 modules running multiple regional instances, each with unique hosting and support needs, creating code duplication, bugs, and inconsistencies. Outdated technology stacks drove high maintenance and hosting costs, limited scalability, and resulted in long rollout and deployment cycles.
Solution
We adopted a modernisation strategy combining 20% rehosting, 70% refactoring, and 10% retirement of legacy systems. Using a SaaS-based, multi-tenancy model and a design-led, technology-driven approach, we delivered a scalable, future-ready platform.
We built a cloud-agnostic, microservices-based application offering improved testability, scalability, rapid deployment, and robust security. Each business unit’s data was isolated for compliance and safety, while shared dashboards enabled transparent tracking of risk, cost, and performance.
The digital transformation replaced paper-based processes with a seamless, multi-device accessible online platform. The system now manages all operational aspects across the national sports ecosystem. This includes club accreditation, team affiliation, and player registration—supporting both adult self-registration and youth registration by parents with online consent. It also facilitates insurance processing, league submissions, disciplinary case management, claim & hearings, comprehensive team and player management.
The platform streamlines workflows, maps teams to competitions, manages referees and officials, and oversees league and competition structures. Additional features include county, ground, and season management; squad lists and headshots; medical exports; grassroots discipline tracking; notifications; reporting; and cases and claims handling.
Built on a state-of-the-art architecture, the system now serves as a single source of truth for the association and its members. It is flexible, scalable, and future-ready—enabling efficiency at every level.
Impact
In its first year, the platform helped drive a 40% increase in registered participants. Users praised its simplicity and effectiveness, reflected in a satisfaction rating of 4.1 out of 5. By streamlining administrative tasks, staff were able to shift focus toward strategic initiatives aimed at growing the sport. As requirements evolved, the platform adapted seamlessly, continuing to deliver measurable results aligned with the client’s goals. This increased flexibility and modularity allowed for new features and upgrades to be introduced at a reduced cost to clients.
